What that price buys

Immaculate coordination. Constant motion.

No one waits for a van to fill up. They'll notice they never waited.

Morning
Getting ready, together
The bridal party moved from their hotels to the getting-ready suite, on the photographer’s timeline.
Before the ceremony
Your arrival
Your own car and driver, waiting at the door. No rushing, no last-minute calls.
Family
Grandparents door to door
Lobby pick-up, seated before the processional, home whenever they’re tired.
Ceremony to reception
Always another on its way
Vehicles cycling between venues, so the cocktail hour fills, not the curb.
The schedule slips
We bend with it
Ceremony runs long, toasts run over. The next vehicle is already on its way back.
End of the night
Home on their own time
Early, or last on the dance floor, and your getaway car waiting for the sparklers.
The usual way
Wait for the van to fill
Big vans on fixed departures. Miss one and wait for the next. Everyone leaves at once at the end of the night.
Our way
Always another on its way
Smaller vehicles cycling all evening. The schedule bends and we bend with it. Guests go home on their own time.
The hospitality standard
Anticipation
Your run-of-show confirmed 30 days out and again 72 hours before.
Communication
One named coordinator, with check-ins at booking, four weeks out and wedding week.
Execution
A coordinator on site with your planner, so decisions happen in seconds.
Recovery
A reserve vehicle staged, I-70 and the weather watched all week, and the authority to fix things on the spot.
And while we're at it

Here's the benefit

Every guest who rides with us grows your gift. Separate bills, never mixed.

You pay for your wedding day. Each guest pays for their own airport rides, directly. Because we carry both, we give part of it back: off your wedding-day price, or as a discounted ride for your guests, whether they ride with fellow guests or in a car to themselves.

● 06 / The difference

The hospitality standard, executed on event day.

Forty-plus combined years inside the Vail Valley's most exacting hotels. The standards we learned there are the ones we run on now. Wedding transportation that anticipates, communicates, executes, and recovers — to the same standard a Four Seasons guest expects on every other interaction in the building.

Where the standard came from
Four Seasons Resort Vail
The Sonnenalp Hotel
The Lodge at Vail
The Ritz-Carlton, Bachelor Gulch
The Sebastian Vail
40+ combined years · 5 luxury properties · 1 standard

Most wedding day disasters happen in the small decisions no one is making. We were trained to make those decisions before they're problems. That's hospitality.

01

Anticipation

The standard

Luxury hospitality is run on what guests don't have to ask for. The water glass refilled before it was empty. The umbrella ready before the rain started. The transportation already moving before you noticed it should have.

What you get

We confirm your run-of-show 30 days out, then again 72 hours before. We track weather and I-70 closures all week and pre-position vehicles when needed. Your couple shouldn't be the ones telling us a snowstorm is coming.

02

Communication

The standard

The hospitality standard isn't responsiveness — it's reaching out before you need to. The pre-arrival call. The check-in before checkout. The proactive note when something has changed. Communication is the work, not the byproduct.

What you get

From the moment you lock your quote: a named coordinator, a direct line, scheduled check-ins at booking, four weeks out, and the week of. Your planner gets dispatch's mobile. You won't ever wonder where things stand.

03

Execution

The standard

On event day, luxury hospitality looks like nothing happening. No friction, no waiting, no decisions that need escalation. The room runs itself because the preparation was done in the weeks before.

What you get

Vehicles pre-positioned before guests arrive. Drivers briefed on your specific run-of-show, your specific guests, your specific venues. A coordinator in the room with your planner — not on the phone with us — for the duration of your event.

04

Recovery

The standard

Things go wrong at every event. The hospitality standard is measured by what happens next. How quickly. How quietly. Whether the guest knew it happened at all. Recovery is the rehearsed muscle that separates a hospitality operation from a service operation.

What you get

Reserve vehicles staged for every event we run. Direct authority on the day to make any call without asking permission. If something doesn't go to plan, your couple won't hear about it from us — they'll hear about it from your planner, the next morning, after we've already absorbed it.

Your wedding day will run on hundreds of small decisions made without you knowing they were made. That's what the hospitality standard means. That's what we deliver.

● The fleet · Operations

How we move you.

We don't just have a fleet. We have an engine that decides which vehicles you get based on your group, your timing, and your venue. Here's how that works — and what gets assigned to a wedding like yours.

● Meet the vehicles

Three vehicle types, one fleet.

Built for optimization and frequency: the fewest vehicles that can move your group, running as often as the day needs them. Larger vehicles carry more guests per trip, which is what keeps the curb moving and the waiting short.

Workhorse

14-passenger Sprinter

14 seats

The backbone of every wedding weekend. We deploy these first because they move the most guests with the fewest vehicles — meaning faster loading, less time at the curb.

  • +Mercedes-Benz Sprinter, executive interior
  • +Climate control, USB charging at every seat
  • +Bench storage for clutch bags and bouquets
  • +ADA accessible variants available on request
Group flex

11-passenger Sprinter

11 seats

Smaller groups, nimbler turning radius. Used when the venue has tight access — Beano's Cabin, Game Creek, mountain decks where a 14-pax can't maneuver.

  • +Mercedes-Benz Sprinter, comfort interior
  • +Climate control, USB charging
  • +Easier entry/exit for elderly guests
  • +Faster on switchback approaches
VIP & overflow

Executive SUV

Up to 6 seats

Bride and groom transport. Family-of-the-couple movements. Last-mile coverage when one or two guests miss the main shuttle — we don't leave anyone at the hotel.

  • +Leather interior
  • +Cooler with bottled water
  • +Always available for late-night curfew runs
● The team

Behind the wheel, behind the scenes.

Vehicles don't run themselves. Every wedding is supported by a small team that has worked together long enough to know who picks up the bride's grandmother and who watches I-70 traffic on the morning of.

01

Drivers

Commercial-licensed, tuxedo-uniformed, briefed on the day's run-of-show. They've worked Vail Valley weddings through every kind of weather.

02

Coordinators

The on-the-ground brains. They build the timing, communicate with your planner, and adjust on the fly when the ceremony runs over.

03

Dispatch

The voice on the other end of the dispatch line. Direct phone, no apps. Tracks every vehicle in real time, ready to redirect when plans shift.

See what we'd send to your wedding.

Build a quote in the calculator and we'll show the exact vehicle mix, hours, and per-guest rate for your specific group.

● For wedding planners

For planners who know how weddings actually run.

Wedding transportation, designed by people who've watched a lot of weddings unfold. Built for the version of your run-of-show that actually happens — not the spreadsheet you sent to the venue.

● The reality of event-day flow

Why frequency beats volume.

You know the script. The ceremony is supposed to start at 4:00. By 4:14, the officiant is still waiting on the bride's side of the family. Cocktail hour was meant to run until 6:00. By 6:35, the photographer hasn't finished the family formals. The reception was scheduled to wrap at 11:00. The dance floor is still going strong at 11:42.

Wedding transportation, the way most operators run it, treats your spreadsheet as the source of truth. They commit a fixed number of vehicles for fixed time blocks, then scramble when the schedule shifts. Guests wait at curbs. Vehicles sit empty. The end-of-night becomes a chaotic stagger of small groups asking dispatch for an ETA.

We've found a different approach that works better in the real world. Smaller vehicles, cycling more often. A continuous service model rather than a scheduled-departure model. Whether the bride starts on time or 25 minutes late, the next vehicle is two minutes away — not stationed in a parking lot waiting for a window that already closed.

● How we account for it

The algorithm models your wedding the way it actually unfolds.

Our pricing engine doesn't just count guests and miles. It accounts for the messy reality of how people move through a wedding day. Here's what's built into every quote — without you having to ask.

01

Schedule slip absorbed

Vehicle staging is calculated on a continuous service model, not a scheduled-departure one. If your ceremony starts late, the next van is already on its way back from the venue. No one waits.

02

End-of-night staggering

We model end-of-night returns as a 90-minute decay curve, not a single mass exodus. The early-leavers get rides. The closers get rides. The drunk uncle who insists on one more song still gets a ride.

03

Smaller vehicles, deployed more often

Where it makes operational sense, we deploy 11-passenger vans cycling more frequently rather than 14-passenger vans cycling less. Faster loading. Tighter venue access. Better guest experience. Same per-guest rate to your couple — pricing is anchored to the larger vehicle regardless.

04

Buffer built in by default

Every weekend includes operational buffer your couple doesn't see in the quote. Extra coordinator time. A vehicle held in reserve. Pre-positioning before known I-70 closure windows. The budget accounts for the wedding that runs long, not the one that runs on schedule.

● Talk to a real person

Direct line to dispatch. Same number, every time.

Planners get a direct phone line to dispatch — not a contact form, not a chatbot, not a generic support queue. The same person who's reading your run-of-show on Monday is the person tracking vehicles on Saturday. We answer in two rings or call back within ten minutes.

● Standing accounts

For planners who book more than a few weddings a year.

If you're a planner with a steady book of Vail Valley weddings, we can structure a standing relationship that goes beyond per-event pricing. Terms are negotiated per-relationship — there's no public tier sheet. The benefits below apply to most standing-account arrangements.

01

Negotiated rate structure

Volume-aware pricing for planners booking 12+ weddings per year. We work backward from your typical wedding profile rather than applying a generic tier.

02

Dedicated coordinator pairing

Same coordinator across your weddings whenever scheduling allows. They learn your style, your preferred vendors, and how you like to communicate.

03

Priority weekend booking

Standing accounts get first-look access to peak-season weekends — before public availability is exposed on the calculator.

04

White-label invoicing

If your planner business invoices the couple directly, we can structure billing to flow through your books rather than ours. Cleaner for everyone.

Let's talk about your next wedding.

If you're working a Vail Valley wedding in the next twelve months and want to walk through how we'd handle it, we're happy to talk. No pitch deck, no formal pitch — just a conversation about your couple, your venues, and how we'd run it.

Cameron & Tiki · Vail Valley
Cameron & TikiOwner & Operators

We started Vail Wedding Transport because we saw the same thing happen at every wedding: incredible venues, exceptional planning, and transportation that didn't match the standard. Vehicles late. Vehicles full. Vehicles missing entirely. The one part of the day no one wanted to think about was the part most likely to go wrong.

Forty-plus combined years inside the Vail Valley's most exacting hotels — Four Seasons Resort Vail, The Sonnenalp Hotel, The Lodge at Vail, The Ritz-Carlton Bachelor Gulch, and The Sebastian Vail. Five luxury properties. One standard. We know this market because we built our careers inside it.

We've worked the porte-cochères. We've run the functions. We know how a Four Seasons guest expects to be received and how a wedding party wants to be moved between venues without ever feeling moved. The instincts that come from a decade of executing luxury hospitality from the inside don't transfer to a transportation vendor — they're the same person doing the same work, just from a different seat.

We've built the operation around the standard. Fourteen vehicles in active rotation. Eight coordinators trained against the same playbook we trained against ourselves. A dispatch system designed to absorb the messiness of real wedding days. This isn't a limousine company that happens to do weddings. It's a hospitality operation purpose-built for the most important transportation day in someone's life.

The old way

Fixed vans for fixed hours.

  • —Same rate whether your venue is three miles or thirty
  • —Empty seats you pay for, or seats short at the curb
  • —A PDF arrives two business days later
The way it works here

Variables in, per-guest rate out.

  • +Your group, timing, and venue feed an engine that allocates the right mix of vehicles
  • +Mileage, drive time, and arrival window all factor into your number
  • +Two staffing strategies compared automatically — the cheaper one wins
  • +Your per-guest rate updates as you build. No PDFs. No callbacks.

● 05 / What we plan for

Weddings rarely run exactly to plan.

The ceremony starts a few minutes late. Cocktail hour runs long. The reception keeps going. People stay later than they planned, leave earlier than they expected, and the run-of-show your planner sent shifts as the day unfolds. That's how weddings work.

Most transportation operators treat the schedule as the source of truth and scramble when reality doesn't match. We've taken a different approach — built around how weddings actually move, not how the spreadsheet says they should.

01

Continuous service

Smaller vehicles cycling more often, rather than fewer large ones on a fixed schedule. Whatever time the ceremony actually starts, the next vehicle is minutes away.

02

End-of-night handled

We plan for the wedding that ends in waves — early-leavers, late-stayers, the people who want one more song. Nobody waits at the curb.

03

Buffer built in

Every weekend includes coordinator time, a vehicle held in reserve, and contingency for weather and I-70. Built into the rate, not added later.

● The fleet · Operations

How we move you.

We don't just have a fleet. We have an engine that decides which vehicles you get based on your group, your timing, and your venue. Here's how that works — and what gets assigned to a wedding like yours.

Three vehicle types, one fleet.

Workhorse× 6 in fleet

14-passenger Sprinter

14 seats · Captain's chairs in row 1

The backbone of every wedding weekend. We deploy these first because they move the most guests with the fewest vehicles — meaning faster loading, less time at the curb.

  • +Mercedes-Benz Sprinter, executive interior
  • +Climate control, USB charging at every seat
  • +Bench storage for clutch bags and bouquets
  • +ADA accessible variants available on request
Group flex× 4 in fleet

11-passenger Sprinter

11 seats · 2-2-2-2-2 configuration

Smaller groups, nimbler turning radius. Used when the venue has tight access — Beano's Cabin, Game Creek, mountain decks where a 14-pax can't maneuver.

  • +Mercedes-Benz Sprinter, comfort interior
  • +Climate control, USB charging
  • +Easier entry/exit for elderly guests
  • +Faster on switchback approaches
VIP & overflow× 4 in fleet

Executive SUV

Up to 6 seats · 2-2-2 configuration

Bride and groom transport. Family-of-the-couple movements. Last-mile coverage when one or two guests miss the main shuttle — we don't leave anyone at the hotel.

  • +Cadillac Escalade or equivalent
  • +Privacy partition, leather interior
